SOFTWARE BUYING GUIDE · PUBLISHED BY ESSENTIAL

Choose the paperwork software that fits your work.

The best gas certificate app for your business depends on the records you issue, the people who need access and how you work on site. This guide is published by Essential Heating Services Limited, a software provider—not an independent ranking.

Follow the workflow

  1. Choose three real job types and compare the questions.
  2. Create a fictional example and inspect the PDF on phone and A4.
  3. Check the complete team cost and the features you would lose by switching.
  4. Test retrieval, exports and support before committing.

Start with the documents, not the feature count

List the records you actually need, then inspect their questions and finished PDFs. A product with many forms may still omit a field important to your work. Check service, landlord, LPG and specialist record coverage separately.

Essential has 22 active record types, plus quotes and invoices. Its original work records do not replace required scheme or manufacturer documents. ASHP service is supported; ASHP commissioning and oil records are not currently offered.

Compare the total cost for your team

Use the number of engineers who need access, the billing period and any required add-ons. Compare annual upfront totals with twelve monthly payments, and check introductory-rate retention and renewal terms.

Essential includes up to two engineers in its base package, with paid additional places. Current rates and the separate first-payment offer are on the pricing page. Check each provider’s own checkout for current VAT treatment and exact terms.

Check access where you work

Try the software on the phones, tablets and computers your team uses. Ask whether it is browser-based or a native app, what happens without a connection, and whether saving synchronises across devices.

Essential runs in a web browser. It does not advertise a native mobile app or offline certificate workflow. If reliable offline work is essential to your jobs, compare products with explicit offline support before choosing.

Follow the whole document journey

Test a fictional draft, its review and signature steps, the final PDF, record retrieval and backup/export options. Check how changes to an issued document are handled and whether warning notices keep their references.

Essential supports reviewed and signed certificate records, company numbering, linked warnings on supported records, account saving and editable workspace recovery backups. Quote and invoice documents have their own numbering and issued snapshots.

Look beyond certificates

Decide whether you also need quotations, invoices, scheduling, accounting links, customer payment collection, automatic reminders or a customer portal. Do not assume that an invoice feature includes all of these.

Essential supplies company-branded quotes and invoices, configurable payment terms, optional VAT and a cash-paid invoice option. It does not advertise accounting integrations, automatic reminders or customer payment collection. Gmail connection is available; other supported mailbox methods may require provider-specific setup.

Ask about support and portability

Ask how to contact support, how your team will be onboarded, what can be exported and what happens if the subscription ends. Review the actual terms rather than assuming permanent access to every feature.

Essential support is by email at support@essentialheatingservices.co.uk. No response-time guarantee or telephone support package is claimed here. You can review the public samples and prepare supported free-account drafts before subscribing.

Provider facts to compare

Before you choose

Is Essential the best gas certificate app in the UK?

There is no verified independent evidence here for that claim. Essential may suit engineers who want browser-based certificates, quotes and invoices together. A business needing offline native apps, scheduling or accounting integrations should compare those requirements carefully.
